Who is responsible
The ElleCup store at ellecup.org is operated by Elle International NPC, a South African non-profit company, registration number 2017/118607/08. Contact info@ellecup.org for questions about your information or to exercise your privacy rights.
Information used to run the store
- Orders: your name, email, telephone number, billing and delivery details, items and sizes chosen, order notes, payment reference and payment status.
- Accounts, if you use one: login and account details and your order history.
- Customer enquiries: the contact details, order reference and message you provide.
- School quotations: organisation and adult contact details, requested styles, sizes and quantities, delivery destination and required date.
- Website operation: shopping-session information and technical records used for security, troubleshooting and operating the website.
Required checkout fields are needed to process and deliver your order. Marketing preferences and optional notes are voluntary. Please do not include pupil names, medical histories or other personal health information in order notes or enquiry forms. Choosing a period-care product does not tell us that you have a medical condition.
Why information is processed
We use information to take and fulfil orders, process payments, arrange delivery, respond to enquiries, manage accounts, prevent misuse, resolve disputes and meet applicable legal and accounting obligations. Depending on the purpose, processing is needed to carry out your requested transaction, comply with a legal obligation, protect legitimate operational interests, or act on your consent.
Payments and delivery
The payment method selected at checkout processes your payment under its own terms. Our store receives the payment reference and status needed to manage your order. The redesigned checkout redirects you to Payfast for Payfast payments; it does not ask you to send full card numbers, banking passwords or one-time passwords to Elle by email or through our enquiry forms.
Contact and delivery details needed to deliver an order are shared with the delivery service handling it.
Email marketing is optional
The checkout marketing box starts unchecked. Buying without subscribing does not prevent an order. If you choose to receive promotional emails, your details and preference may be handled through our email-marketing service, Mailchimp. You can unsubscribe using the link in a marketing email or contact us. Order and service messages are separate from promotional emails.
Service providers and international processing
Store, hosting, payment, delivery, email and technical service providers process information needed for their services. The store uses WordPress and WooCommerce; production integrations include payment services, Mailchimp and Google services. Some providers may process information outside South Africa. Any cross-border processing must have an appropriate lawful basis and safeguards. Each provider may also explain its own processing in its privacy notice.
Cookies and measurement
Necessary cookies keep your basket, checkout session and login working. Blocking these cookies in your browser may prevent the store from working properly. Analytics and advertising tools are separate from these necessary functions. Your marketing-email choice does not also grant permission for advertising cookies.
The store uses Google measurement and advertising integrations. The purposes and choices for these tools need to be read alongside the settings offered on the website. Declining promotional email does not automatically turn off website tracking.
Retention and security
Order and correspondence records are kept where needed to fulfil the purposes above, meet legal or accounting requirements, or handle a dispute. Retention must be reviewed against those purposes; this notice does not promise an automatic deletion deadline that has not been configured. A limited record of an unsubscribe request may be needed to avoid contacting you again.
Access to order and enquiry records should be limited to authorised people and relevant service providers. No online system can promise absolute security. Do not send passwords or payment authentication codes in an enquiry.
Your choices and rights
You may ask what personal information is held about you, request access or correction, object to processing where applicable, withdraw consent, or request deletion where the information is no longer lawfully needed. Some records may need to be retained to meet legal obligations. We may need to verify your identity before releasing or changing personal information; please contact us first rather than sending identity documents unsolicited.

Children and school enquiries
School forms are intended for adult representatives and do not request individual learners' information. A parent or guardian should assist a minor with a purchase and any required permissions. If a child’s personal information has been provided unnecessarily, contact us so it can be reviewed.

Changes to the way the store processes information should be reflected on this page, with an updated date and any further notice required by law.
